Your data on OKR.ai Cloud
What we keep, where it lives, and how to take it with you or delete it. Self-hosted OKR.ai keeps everything on your own machine and database, so none of this applies there.
What we store
- Your organisation's OKRs: people on the org chart (name, email, role, responsibilities), objectives, key results, initiatives, progress updates, reviews, snapshots and the files attached as evidence.
- Sign-in records: which organisation your email belongs to, active sessions, one-time sign-in codes (deleted when used; they expire after 10 minutes), and the AI assistant (MCP) tokens you create. Tokens and codes are stored only as hashes.
- Billing records: your plan, the number of people billed, payments, and AI tokens used each month.
Where it lives
You pick an AWS region when you create the organisation: N. Virginia, Oregon, Ireland, Frankfurt, Mumbai, Singapore or Sydney. Your OKRs, people and files stay in that region, in DynamoDB and S3, encrypted at rest. Sign-in and billing records live in OKR.ai's control region.
Who can see it
People in your organisation see OKRs the way the org chart allows: full detail for themselves, their manager and their direct reports; structure only for everyone else. Admins manage people and settings. The owner manages billing and can delete the organisation.
When you use the AI included with your plan, the OKRs and context needed for that request are sent to Anthropic's Claude to produce the answer. They are never used to train a model. If you add your own AI key, requests go to that provider under your own account instead.
Export
In the app, open Account & workspace. Export my data downloads your profile, your OKRs, the updates you wrote and your schedules as JSON. Admins can also Export workspace, which downloads every table of the organisation. Attached files aren't in the download, but their names and details are.
Delete your account
Account & workspace → Delete account. You're signed out everywhere, your AI assistant tokens stop working, your email is released, and your OKRs, reviews and schedules are deleted. People who reported to you move up to your manager. Progress updates you wrote on other people's key results stay with those key results. If you own the organisation, hand it to someone else in Members first. If you're the only person, deleting your account deletes the organisation.
Delete your organisation
Account & workspace → Delete organisation (owner only). Everything in it is deleted at once: every person, OKR, update, file and setting, every sign-in and token, and its plan and usage records. We keep one line with no personal data (when it was deleted, its plan and its head count) for our billing records.
Deleted data can remain in encrypted backups (DynamoDB point-in-time recovery) for up to 35 days before it expires.
